Position Overview

The Department of Radiology in the Cumming School of Medicine invites applications for an Administrative Assistant. This Part-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

Position reports to the Principal Investigator.

This position will act as the primary contact and will provide administrative support to research operations at the pediatric MRI centre at the Alberta Children’s Hospital.

This position is for approximately 17.5 hours a week.

Position Description

  • Preparing invoices, monthly and quarterly
  • Compile and organize data, statistics, and other information to support research activities
  • Support the preparation of annual reports
  • Managing and maintaining study-related documents
  • Schedule stakeholder meetings
  • Assemble the agenda for monthly committee meetings and take minutes
  • Answer in person, phone and electronic inquiries
  • Organize events by arranging locations, ordering supplies, providing agendas, and answering inquiries
  • Update website
  • Assist in delivering MRI related training

Qualifications / Requirements:

  • Minimum 2 years of related administrative experience
  • A combination of education and experience will be considered
  • Knowledge of research processes and procedures
  • Immediate to advanced skills in Microsoft Office Suite, Internet skills
  • Basic proficiency in website management
  • Fully proficient interpersonal and organizational skills
  • Demonstrate strong analytical skills
  • Ability to operate and maintain various office equipment
  • Demonstrated strong communication, team and customer service skills, and an ability to exercise judgment within established guidelines
  • Must be open to learning and development and be willing to accept new challenges and assignments
  • A positive attitude and the ability to work independently and as part of a team are critical to success
  • Knowledge of the University of Calgary processes and procedures is desirable
