Primary Purpose:  The primary purpose of this position is to provide exemplary research and administration support to the Director, Innovation Enterprise and unit.  This will include providing research and administrative support, overseeing office processes, coordinating events, and assisting in portfolio management.

Nature of Work:  Reporting to the Director or his delegate, this position is part of a cohesive, cross-unit team providing excellent, proactive service to the research and innovation community.  The position is of average complexity, the incumbent will exercise decision-making within established guidelines.  Work must consistently meet high standards of accuracy in an environment of continuous change and frequent interruptions.  The work is deadline driven and very detailed, requiring skills in prioritizing in order to meet external and internal timelines.  There is a strong emphasis on anticipating requirements and creating solutions.  Excellent communication and interpersonal skills are essential.  Discretion is required as the position has access to highly confidential information.

Accountabilities:

  • Provide timely and effective management of the schedule and associated logistics of the Director and Associate Director, ensuring full preparation for all commitments, including gathering or creating background and meeting material.
  • Provide research and administrative support to the Director through undertaking environmental scans and other portfolio management projects.
  • Prepare official correspondence and presentations as required.
  • Provide administrative support for committees and working groups.
  • Oversee day-to-day management of the office.
  • Assess office administrative procedures and processes with a view to making them more effective and efficient.
  • Coordinate events, including providing logistical planning and support for campus-wide special events such as AIMdayโ„ข programs and other workshops.
  • Coordinate and manage travel arrangements for the Director.
  • Exercise decision-making and problem-solving to ensure priorities and deadlines are met.
  • Share knowledge appropriately to allow fully informed decision-making by colleagues of the office as well as those seeking information from the office.
  • A commitment to teamwork and positivity is essential, along with an ability to create and nurture positive working relationships.
  • Provide frontline first point of contact for visitors to the office, as well as receiving and directing email and telephone inquiries.
  • May assist in legal and intellectual property records maintenance and database entry activities.

Qualifications
Education:  Relevant post-secondary education is required.  Formal training in MS Office is essential.

Experience:  A minimum of three yearsโ€™ experience in an administrative role in an academic and/or research environment.  A working knowledge of the University of Saskatchewan environment, including financial and human resource information systems would be valuable assets.

Skills:  Exceptional organizational skills with a proven ability to work on multiple projects with competing demands to meet deadlines; demonstrated aptitude for successfully working in a team-oriented environment; demonstrated sound judgment, tact, discretion, and professional integrity; exemplary interpersonal and communication (verbal and written) skills; strong attention to detail; ability to work independently, take initiative and anticipate future needs, issues and events; proven problem-solving abilities; conflict management skills; experience with financial account management and a demonstrated knowledge of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat Professional, and strong Internet research skills.
