The incumbent is responsible for receiving and opening digitized admission application files for all programs at Saint Paul University. He or she ensures that the files are complete and that all required documents have been received. The incumbent is responsible for calculating the averages of candidates who have completed their studies in a Canadian and/or American institution. He or she enters the data into the academic information system (uoCampus). The registrant is responsible for correspondence and the processing of school records.


  • Receiving documents; preparing applications; acknowledging receipt;
  • Student Files: Manages and digitally files documents for admission files; 
  • Student records: entering data into the school information system;
  • Responding to admissions inquiries (e-mail and telephone);
  • Scans and indexes all incoming documents;
  • Calculates the averages of applicants who have completed studies at a Canadian and/or American institution;
  • Follows up on admission requirements;
  • May be called upon to receive and process application fees.  Follows up with the university's Finance Department.
  • Refers to the admissions officers when questions are related to the evaluation or decision on the file.
  • If necessary, replaces the receptionist.
Experience :

Education, Experience, Knowledge and Abilities

  • A College diploma in a relevant field or a combination of training and experience deemed equivalent
  • Data Entry Experience
  • Experience with multicultural clients
  • Extensive knowledge of computer tools such as Windows, word processing, presentation software, spreadsheets, Internet, e-mail and electronic scheduling tools
  • General knowledge of the university system and admissions processes in Canada
  • Knowledge of the school information system an asset
  • Excellent customer service skills
  • Tolerance for repetitive work
  • Ability to collaborate and work in a team
  • Sense of responsibility, good judgment, tact and discretion
  • Bilingualism: fluency in French and English (oral and written)
