Position Summary

This position provides administrative and secretarial support for the Director of North American Operations and other management staff as needed, including typing, filing, scheduling, coordination of meetings and conferences, handling non-routine correspondence, assembling and working with highly confidential and sensitive information.  This position works under limited supervision in performing a variety of tasks that require a degree of independent judgment and discretion.  This position requires a high level of poise, tack and diplomacy with strong interpersonal skills, and ability to interface with important callers, visitors, and all levels of management on a daily basis.

Duties

  • Drafts correspondences and memos for supervisor’s signature; utilizes word processing and graphics software to create, format, and generate various materials including correspondences, memos, and presentation slides for meetings.
  • Maintains executive’s calendar and schedule; makes appointments; makes domestic and international travel arrangements; assists in planning and implementing conferences and special events; assists in making any necessary meeting room rental, lodging reservation, transportation, and catering arrangements.
  • Schedules and presents life-size video and Skype meetings; completes special projects as needed.
  • Coordinates department meetings and arrange use of conference rooms.
  • Conducts basic research for supervisor; analyzes, and summarizes information for reports and correspondence.
  • Handles confidential material relevant to Company operations.
  • Receives incoming phone calls by providing information, taking messages, screening requests on behalf of supervisor, or referring calls to appropriate person.
  • Communicates effectively with senior management team, Customers, managers, and STERIS personnel.
  • Prepares agendas/materials for annual meetings, monthly staff meetings and several steering committee meetings.
  • Monitors and maintains inventory of supplies, forms, and other materials, including department copy machine; initiates ordering process as necessary.
  • Receives, directs, and assists vendors; provides procedural information and answers inquiries related to operational and substantive matters.
  • Copies and collates materials for use in reports and presentations and/or distribution to specified parties.
  • Pulls and refiles records; maintains filing system by creating new files, updating existing files, and removing files no longer in use.
  • Maintains accountability checklist of HR department staff for evacuation purposes and other duties as requested.
  • Assists in ordering office furniture, reconfiguration of department cubicles, and ordering additional items as needed.

Education DegreeRequired Experience

  • Minimum of 3-5 years administrative experience required; Associate’s Degree in Business or professional certification preferred. Course work focused on business, accounting, finance, or communications is a plus.
  • Ability to effectively read, write, and verbally communicate via telephone and through email.
  • Ability to work independently under general guidelines and supervision.
  • Strong attention to detail.
  • Ability to work at all levels of an organization to develop and influence the culture of the organization.
  • Strong computer skills (Word, Excel, PowerPoint, Email, Oracle and Internet).
  • Thorough knowledge of administrative practices and procedures.
  • Good judgment and decision making skills.
  • Professional appearance and presentation.
