Senior Administrative Associate, Access Solutions


The Position

Purpose:  The Senior Administrative Associate is allocated to support the Business Unit Heads, Cross-Portfolio Lead, and/or Patient Experience Leads & respective teams within Access Solutions. The Sr. Admin Associate acts as the departmental "go-to-person" for general operational and administrative questions or other inquiries.

Key Responsibilities/Accountabilities:  

Assists the assigned team in various administrative or operational activities such as coordinating, scheduling and preparing for meetings or presentations, gathering information and/or conducting analyses needed for the department's work, formatting or editing departmental materials, presentations or other documentation, channeling communication between the department and other GNE groups, etc.

Ensures assigned team has the most current office equipment and materials at all times and appropriate to the team's work.

Streamlines and reduces unnecessary administrative or operational burdens from managers and others. 

Responsible for training new team members on company and departmental administrative and general processes, systems, practices, tools and standards.

Responsible for maintaining a fully accurate and up-to-date departmental roster, complete with all employee and other key departmental information.

Coordinates departmental recruitment activities.

Coordinates and manages any office moves.

Supports managers and team in coordination and ongoing management and communication with any external vendors.

Where assigned, coordinates departmental or other team meetings and may directly manage all event planning and management activities.

Coordinates and schedules travel, accommodation and other requirements.

Discretion with sensitive/confidential and proprietary information.

Critical to be able to interact professionally and collaboratively with other administrative professionals within MCCO and across the organization.

Complies with all laws, regulations and policies that govern the conduct of GNE activities.

Business travel is required to support business needs.

Recommended Skills and Experiences:

High School Diploma required. Bachelor’s Degree preferred.

5+ years of experience as a senior level administrative assistant (experience gained in the pharmaceutical/biotech industry is a plus).

Strong communication skills (both verbal and written).

Very organized; ability to manage under tight deadlines and be able to multi-task.

Previous experience for training other staff in company or departmental systems, processes, and other general or administrative tools is strongly preferred.

Previous experience includes responsibilities for managing confidential information.

Demonstrates outstanding computer skills and specific proficiencies with Microsoft Word, Excel and PowerPoint.

Demonstrates aptitude to learn GNE-specific calendar and other operational systems.

Proven track record of meeting or exceeding objectives & goals.
