Position Overview

Enrolment Services within Student and Enrolment Services is currently seeking a Full-time Temporary Relief Financial Aid Administrator for approximately 18 months.

Reporting to the Manager, Financial Aid, the Financial Aid Administrator (FAA) works independently and as part of a team to facilitate and administer support services to students related to financial aid at the University of Calgary. The Financial Aid office facilitates approximately 9,500 students in directing more than $38 Million annually in student loan funding towards their educational expenses. The Financial Aid Administrator supports loan processes for Canadian and US student loan borrowers.

 

Summary of Key Responsibilities (job functions include but are not limited to):

  • Provide timely processing of loan forms/reports (both electronic & paper) as related to the student loan cycle utilizing provincial and federal portals where applicable; conduct ongoing file management of both paper and online records; daily and/or weekly filing and archiving of student loan forms
  • Support manual loan confirmation and loan amendment processes through the student loan lifecycle
  • Support administrative inquiries for all Canadian provinces and US Loan programs
  • Maintain up-to-date knowledge of loan policies and guidelines
  • Ensure students & staff are provided with detailed, accurate and timely information related to financial aid utilizing various mediums such as email, phone and in-person
  • Utilize and refer to the University of Calgary calendar and provincial loan policy manuals to make recommendations for individual student cases related to the loan lifecycles: application, disbursement, loan eligibility and repayment
  • Track and provide detailed statistics to team related to services and outreach of the area (track mail, email and requests)
  • Update outreach/email responses based on statistics and demand; respond to general student email inquiries
  • Ability to recognize peak periods, forecast demand and identify key milestones in the process
  • Ability to review reports identifying financial aid recipients and action reports back to lenders as required
  • Communicate with provincial and federal agencies via email and phone regarding student funding eligibility and disbursement processes related to the student account
  • Report on loan amendments and cancellations
  • Provide feedback on processes and policies to inform positive change
  • Stay up to date with provincial regulations and changes and consider the impact to properly support the advising team
  • Support Enrolment Services with administrative tasks when needed

Qualifications / Requirements:

  • A post-secondary credential (certificate, diploma, degree) in a related field is required; preference will be given to candidates who possess a bachelor's degree
  • Minimum 3 years of experience in an administrative role preferably in a postΒ­ secondary, client service, fees or accounts position
  • Minimum 1 year experience in a post-secondary registrars' office; experience working with student financial aid processes would be an asset
  • Experience working in a high-volume environment with peak periods of demand is required
  • Computer expertise in Microsoft Office applications (Word, Excel, Access) and web browsing software is required
  • Experience working with student administrative software (i.e. PeopleSoft, Banner, Cognos, etc.) is required
  • Proven interpersonal as well as verbal and written communication skills with consistency in providing superior customer service to internal and external clients
  • Demonstrated independent time, management skills and attention to detail
  • Advanced organizational, administrative and analytical skills is required
  • Demonstrated ability to perform in an environment that juggles multiple and complex tasks in a fast-paced and challenging environment
  • Demonstrated ability to exercise a high degree of discretion, confidentiality and professionalism
