CURRICULUM AND GRADUATION COORDINATOR, Office of the Registrar – Competition Number 19-155R
Kwantlen Polytechnic University is seeking a permanent full-time (35 hours/week) Curriculum and Graduation Coordinator in our Office of the Registrar. This position is based on our Surrey Campus.
The Curriculum and Graduation Coordinator implements processes for graduation audits, monitors and maintains curriculum rules and course catalog information within the curriculum development system, student information system, academic calendar system, and graduation audit system. The incumbent maintains student records and prepares data reports for the University Registrar, the University Senate, the Faculties, and the Convocation Ceremonies.
Reporting to the Manager, Curriculum and Graduation, the Curriculum and Graduation Coordinator will be responsible for coordinating and implementing processes for graduation audits. They will oversee, train and coordinate activities of staff that perform graduation audits and communicate with students, Academic Advisors and other internal departments to resolve irregularities in the audits.
The Coordinator will also oversee and maintain up-to-date curriculum rules in students’ academic records. They will also be responsible for coordinating, monitoring quality of data entry, assisting with the data input for course information and validation tables in the curriculum development system, the student information system, the University Calendar, and the degree audit system.
The person also assists with the planning of the Convocation ceremony, determining student eligibility to participate in convocation and coordinates the production and distribution of credentials.
To be successful in the role, we are seeking individuals who have the following qualifications:• A minimum of five (5) years of experience in an Office of the Registrar in progressively responsible positions related to graduation and curriculum at a post-secondary institution.• Successful completion of an undergraduate bachelor’s degree.• Three (3) years of experience in a supervisory position with experience in developing and administering performance standards. Formal supervisory training is an asset.• An equivalent combination of education and experience may be considered.• Demonstrated customer service experience in a fast-paced work environment involving multiple demands.• Excellent interpersonal, organizational, planning, and coordination skills, including the ability to set priorities and meet deadlines.• Excellent communication skills, including training or experience in public speaking. Ability to communicate patiently and effectively with a diverse range of people and situations, including the ability to deal with hostile or upset clients.• Demonstrated ability to work independently, exercise good judgment and demonstrate initiative.• Demonstrated ability to develop flexible approaches toward work procedures and to improvise satisfactory alternatives as required.• Demonstrated ability to establish and maintain effective working relationships with University administration, faculty, staff and students.• Formal training and/or extensive acquired knowledge in computing, including proficiency at an intermediate level using BANNER Student or a similar student information system; and proficiency at an intermediate level using Degree Works or a similar graduation auditing system.• Proficiency at an advanced level using MS Excel and MS Word. Microsoft Office certification preferred.• Demonstrated knowledge of KPU programs, policies and procedures, and knowledge of the BC post-secondary system.• Experience using a reporting tool such as the Millennium FAST (Fast Administrative Support Tools) Suite, to query a relational database, at an intermediate level.• Demonstrated analytical skills, including problem-solving and needs analysis.• Full command of the English language, both written and oral.
